How to Set (and Stick to) Boundaries with Clients

One of the biggest challenges for small business owners is maintaining clear boundaries with clients. Without boundaries, you risk scope creep, burnout, and feeling taken advantage of. Here’s how to set boundaries and stick to them.

1. Clearly Defi ne Your Scope of Work

In the beginning, be very clear about what your services include. Outline exactly what you’ll be providing and what falls outside your responsibilities.

Tip: Create a contract that spells out your scope of work so clients know what to expect from the start.

2. Set Communication Guidelines

Let clients know your preferred communication channels and response times. If you don’t want to be available 24/7, set realistic expectations upfront.

Tip: Create an email autoresponder to let clients know when you’re unavailable, along with a timeframe for when they can expect a response.

3. Don’t Be Afraid to Say “No”

If a client asks for additional work outside your agreed scope or demands urgent responses at unreasonable times, it’s important to say no politely.

Tip: Use phrases like “I’d love to help with that, but it would require an additional fee” or “That falls outside our current agreement, so let’s discuss a new contract for that service.”

4. Protect Your Time

Make sure your schedule refl ects the time you need for work, rest, and personal commitments. Don’t feel guilty about protecting your personal life.

Tip: Block off “off-limits” time in your calendar to avoid overbooking yourself.
Keep a balance between professionalism and friendliness to maintain healthy relationships while protecting your time.
